Calendar sync

Syncing your calendars is the foundation of smart scheduling in Trickle. It helps prevent double-bookings, centralizes your availability, and unlocks powerful tools like Meet Links and Mail Agents. This guide shows how to set up and manage syncs with the right privacy settings for your needs.

Limits

The number of calendars you can connect depends on your Trickle plan:

Free – Up to 3 calendar accounts
Premium – Up to 5 calendar accounts
Elite – Unlimited calendar accounts

If you try to add more connections than your plan allows, Trickle will prompt you to upgrade or remove an existing connection.

Purpose

Calendar sync in Trickle means events from one calendar are mirrored in another. You select a source calendar (where the original event is) and a target calendar (where it will be copied).

Why sync your calendars?

  • Avoid double-bookings by centralizing all availability

  • Keep work and personal calendars aligned

  • Unlock features like Mail Agents and Meet Links

  • Improve scheduling accuracy across time zones or devices

  • Example: If you add a dentist appointment to your personal calendar, sync can block that time on your work calendar too, so no one books over it.

Privacy & visibility settings

Privacy Levels

Full Sync – Notes, participants, attachments, and all event details are shared.
Title + Location – Event shows with title and location only.
Private Sync – Event appears as “busy” with no other details.

Time Filters

All Hours – All events, regardless of time.
Office Hours Only – Events between your defined work hours.
Outside Office Hours – Evenings, weekends, or custom ranges.

Use Cases

  • Private Sync + Office Hours: Show you're busy during work hours, but not personal details

  • Full Sync + All Hours: Keep both calendars fully aligned, useful for hybrid work setups

  • Private Sync + Outside Office Hours: Avoid evening meetings without sharing personal plans

Set up

On Web

To set up calendar sync using a desktop browser:

  1. Go to your Dashboard.

  2. Navigate to Settings → Calendar Accounts.

  3. Click Add Sync.

  4. Select your source calendar and target calendar.

  5. Choose your privacy level (Full Sync, Title + Location, or Private Sync) and time filter (All Hours, Office Hours Only, or Outside Office Hours).

  6. Click Activate to start syncing.

You can pause, edit, or delete a sync at any time from the same screen.

On Mobile

To set up calendar sync on a mobile device:

  1. Go to your Dashboard in your mobile browser.

  2. Tap Settings → Calendar Accounts.

  3. Tap Add Sync.

  4. Select your source calendar and target calendar.

  5. Choose your privacy level (Full Sync, Title + Location, or Private Sync) and time filter (All Hours, Office Hours Only, or Outside Office Hours).

  6. Tap Activate to start syncing.

You can pause, edit, or delete a sync at any time from the same screen.

Managing Multiple Syncs

Trickle supports multiple sync pairs. For example:

  • Work → Personal

  • Personal → Work

Each sync pair is managed separately, so you can set different privacy levels for each direction.

Conflict resolution:

  • Items synced from Work to Personal will never be synced back, preventing duplicates.

  • Recurring events are mirrored but won’t duplicate if they already exist.

  • Items created by a sync will never sync themselves to another calendar.

Troubleshooting

Exceeded Plan Limit: You’ll receive a message prompting an upgrade or to remove an old sync

  • Revoked Permissions: Go to Settings > Calendar Accounts, and click Reconnect

  • Sync Stopped: You may need to re-add the calendar account

  • Apple/iCloud Specifics:

    • Requires 2FA

    • Needs app-specific password

    • Only works with your iCloud email address

  • Recurring Events & Aliases: Trickle detects duplicates and only syncs once; no endless loops

FAQ

Why won’t my private events show up?

If you’ve set your sync to Private, events will block time on the target calendar but won’t display titles or details. This is expected behavior.

If sync is set to Office hours only or Outside office hours, events outside that window will be skipped.

If events aren’t showing up at all, double-check that you’ve connected and synced the correct calendar from your account (for example, your “Personal” calendar instead of your “Holidays” calendar). You can review and adjust this in your settings.

What happens if I downgrade my plan?
You’ll keep only the first 3 connected calendar accounts. Additional connections will be paused until you upgrade or remove them.

Do recurring events copy over?
Yes, Trickle mirrors recurring events. Conflicts and duplicates are automatically handled.
