Adding contacts & groups
Trickle helps you share your availability and collaborate seamlessly by letting you manage contacts and organize them into groups. Whether you're syncing contacts from different platforms or working across teams, this guide covers how it works and how to avoid common pitfalls.
Purpose
Contacts are people you frequently meet or collaborate with. In Trickle, contacts are imported from different sources, so they might be a mix of colleagues, clients, and other connections. Groups help you organize them, making it easier to schedule team meetings, share availability, and coordinate across departments or organizations.
What is an invite?
Inviting someone allows them to view your availability and collaborate with you directly in the app. No more back-and-forth.
Adding contacts
You can add contacts in three ways:
Manual Add
Go to Contacts in the sidebar
Click Add Contact
Enter their name and email

Cloud Sync
Sync contacts from Google or Microsoft accounts
You’ll be prompted to give permission during onboarding or in Settings > Calendars
Once synced, Trickle automatically keeps them updated
Mobile Contacts
If enabled, Trickle pulls contacts from your phone’s address book
You control permission access in your device settings
Duplicates
Trickle automatically detects and merges duplicates by email
If data conflicts, Trickle keeps the most recently updated info
Contact Updates
To edit or delete a contact, go to Contacts > [Contact Name] > Edit.
To refresh synced contact data, you can re-sync from Settings > Integrations.
Important: Trickle does not push contact updates back to your connected calendar or email provider. When you re-sync, any manual changes made in Trickle may be overwritten by the source data from your provider (e.g. Google or Microsoft).
Inviting friends
To invite someone to Trickle:
Click the link icon in the top right, next to your profile picture (available on both mobile and web).
Copy or export your invite link.
Share the link with the person you want to invite.
Note: It is not (yet) possible to invite a contact directly from the contact list.
The invite includes:
When someone accepts your invite, they’ll be automatically connected to you. They can link or sync up to three calendar accounts and schedule with you directly, with both your availabilities taken into account.
Troubleshooting:
If the invite email doesn’t arrive, make sure the address is correct and have the recipient check their spam or junk folder.
Creating & managing groups
Manual Group Creation
Go to Groups
Click Create Group
Add members from your contacts list.
Name the group and add a profile picture.
Save

Automatic Groups
Trickle will auto-generate groups based on shared company domains.
How it works:
If multiple users share the same domain (e.g., @trickle.ai), Trickle groups them
Subdomains (like @support.trickle.ai) are treated as part of the parent domain, unless separated manually
When users leave or change email:
They’re removed from the group automatically if their domain no longer matches
Editing Groups
Add/remove members at any time via Groups > Edit Group
You can also rename or delete groups

FAQ
What happens if someone I invited signs up with a different email?
If someone you invited signs up using a different email address, they’ll still have access to the same features, but they won’t be added to your contacts automatically and won’t see your availability. You’ll first need to add them manually to your contacts, then toggle on “Show my availability” on their contact page. If they later add a calendar linked to the email you originally invited, they will appear in your contacts automatically.
How do I merge or delete duplicate contacts?
Contacts are merged automatically if they share the same email address. If the emails are different (e.g., one is a Gmail address and the other is a Microsoft address), they won’t be merged automatically. You can manually delete any duplicate by opening their contact page and selecting “Delete.
If I remove a contact, do they lose access to my availability?
Yes. Once removed, they can no longer view your availability or collaborate unless re-invited.
