Mail Agents
This guide will show you how to use Trickle’s Mail Agents to schedule meetings directly from your inbox, forward event invites into your calendar, and automatically label incoming emails for faster triage.

What Are “Mail Agents”?
Mail Agents are special email addresses you either Cc or Forward to.
When you use them, Trickle:
Reads the email thread.
Understands your intent.
Either proposes times or books the event automatically — without leaving your inbox.
Key features:
Works with Gmail and Outlook (or any email client that can send email).
Understands natural language and common scheduling phrases.
Never shares private calendar details — only available windows and booking links.
Cc vs Forward: The 10-Second Rule
Cc Trickle → Propose times and reply to the thread.
Forward to Trickle → Book directly into your calendar when the event details are clear (date, time, title).
Cc to Schedule
The Cc Agent lets you include Trickle on any email thread. Trickle reads the context and replies-all with:
Inline, clickable time options in the email.
A smart booking link that mirrors your constraints (date, duration, location, participants).
How It Works
Recipients see buttons for specific time slots; clicking one books that slot instantly.
The booking link only shows valid options based on your preferences.
If other Trickle users are in Cc, Trickle cross-checks everyone’s calendars for overlapping availability.
How to Use
Compose or reply to any email.
Add assistant@chat.trickle.ai to the Cc field.
Write naturally — include preferences like duration, date range, location, or participants.
Trickle will reply-all with time options and a booking link.
Requires:
An active Meet Link in your Trickle settings.
Calendar sync enabled.
Example:
Subject: Planning our onsite
Attendees: Me, Nora (Trickle user), Jeroen (external)Looping Trickle (Cc) to find 45 minutes two weeks from now at our Brussels office.
Trickle will reply with overlapping availability for you and Nora, plus a booking link that hides times where not everyone is free.
Tips for Best Results
Use plain language for constraints: “two weeks from now,” “mornings only,” “Teams link,” “office: 123 Main St.”
Add teammates who use Trickle to Cc so their calendars are considered automatically.
Troubleshooting
No buttons in email? Your client may block rich content — use the “Open booking page” link.
Wrong time or location? Reply with clearer details (“start in two weeks,” “London office,” “Zoom only”).
Need to book an invite instead? Use the Forward Agent.
Forward to Schedule
The Forward Agent books events directly into your calendar when you forward an email that contains clear event details.
What It Understands
Required: Date + time + event title (subject line is fine).
Optional: Location (for travel time), timezone, or duration.
What Happens
Trickle parses the forwarded content.
Creates the calendar event instantly (no reply email).
Adds location and applies travel time if enabled.
Uses your default calendar unless otherwise specified.
How to Use
Open the email describing the event.
Forward it to assistant@chat.trickle.ai.
Check your calendar for the new event.
Works With:
Standard calendar invites (.ics files optional).
Plain text emails with clear date/time (“Your tour is on Oct 14 at 10:00 CET”).
Auto-generated confirmations (webinars, event bookings).
Not For:
“When are you free?” messages → use Cc Agent.
Newsletters, receipts, promotions (ignored).
Troubleshooting
No event created? Ensure email contains date + time + title. Add manually if missing.
Wrong time? Check timezone in Settings → Profile.
No travel time? Enable Travel Time in Settings → Profile and include an address.
Labeling Agent
The Labeling Agent automatically classifies incoming mail with Gmail labels or Outlook categories.

To Respond
Why It Helps:
Prioritize “To Respond,” “Meeting Request,” and “Heads Up” first.
Snooze or filter “Marketing” messages.
Search faster by label.
Troubleshooting
No labels? Ensure labels/categories aren’t hidden.
Mislabelled email? Re-apply the correct label manually.
Conflicts? Check for existing Gmail/Outlook rules that override Trickle labels.
Privacy & Security
Trickle only processes threads you explicitly Cc or Forward.
Only availability windows and booking links are shared — never raw calendar details.
